 Permanant Part Time Ethics And Sustainability Coordinator

Elk is on a journey which aims to continually monitor, improve and assess policies, procedures and positioning in regards to the companies ethical and sustainable practices. Much work has been done however there is a great deal ahead of us to work on our public profile, community messaging, supply chain managements and policy documentation.

This is a role which will work with both internal and external teams and will influence the overall management of this newly formalized segment of the company. It is a proactive and creative position where a lateral approach to thinking is key.

REQUIREMENTS

  • Minimum two years experience in a similar role 
  • Excellent research and communication skills
  • Experience in policy and document writing  
  • Experience in dealing with offshore suppliers
  • Experience in or a sound understanding of sustainable business practices
  • An understanding of the fashion industry, manufacturing and fabric knowledge
  • A creative, lateral approach to work and excellent problem solving skills

GENERAL

This role requires you to monitor, update and assess as required in accordance to Elk’s requirements, laws and current standards.

  • Environmental policy development to be signed by Elk’s founders
  • Establishment of Elk’s Company Mission statement around social and environmental objectives
  • To be abreast of best practice and most up to date information, policies or trends to inform this area of Elk’s business
  • To consider Elk’s own certification and consider new opportunities such as Fair Trade etc

INTERNAL

  • Creation of internal code of conduct which require assessment and development recommendations in regards to workplace policies and procedures around employee health and well being
  • Management, documentation and ongoing assessment of internal policies and procedures for best practice facilities management, consumables, recycling/wastage procedures, business practices and reduction of Elk’s environmental footprint as a result of day to day operation
  • Creating and setting organisation wide KPI’s for social and environmental objectives
  • Development of a code of ethics for employees and business partners for anti-corruption, fraud and bribery which is to include a whistleblowing procedure
  • Conduct employee workshops and training to teach company sustainability and objectives
  • Work with Elk’s HR manager to create and update as required the company Employee Handbook with sustainability and ethical objectives and commitments
  • Manage relationships with charity partners and assist in the management of one off projects (eg Guide Dogs) in both the retail and wholesale environment

EXTERNAL

  • Map current supply chain with each vendor to understand the material impact of each product to consider improvements
  • Work on vendor transparency and monitor certification/compliance to bring all up to date and work with them to ensure areas of suggested improvements are carried through
  • Develop a formal policy for charitable donations
  • In consultation with HR and Elk management create a leave entitlement policy for volunteering
  • Identification of external partners with whom Elk can make broader social and environmental improvements within the industry
  • Development of a supplier procurement policy which will include a set of screening requirements for new suppliers covering social and environmental considerations
  • Creation of a stakeholder map listing internal and external stakeholders including a system to track topics, concerns or actionable issues. This includes the creation of a geographic map.
  • Creation and management of a chemical management plan

COMMUNITY ENGAGEMENT
This role will work closely with many departments in Elk. In regards to community management this will be covered by the marketing department however this role will inform necessary information.

  • Identify partners with Marketing for possible collaborative collections with other business’ focusing on social or economic problems
  • Research and identify new suppliers both domestically and internationally to work with either for product production or philanthropic work who have socially or ethically conscious productions such as women’s groups etc
  • Create a list of independent stockist initiatives to understand ways Elk can assist or positively impact or extend on these individually led strategies or partnerships

Job Description
Elk are looking for an experienced Retail Manager to join our Preston Store.
This is a rare opportunity for a full time highly motivated retailer to join a growing business.
The successful candidate will have outstanding customer service skills; ample experience in visual merchandising, a positive can do attitude and a passion for the product and business.

This role will work closely with our head office team providing product feedback and delivering set targets.

Full Time 12 Month Maternity Leave Contract – Victorian and Tasmanian Wholesale Sales Representative

 This is a Melbourne based full time 12 month maternity temporary contract at Elk. This role ensures the successful and smooth operation of Elk’s wholesale accounts in both Victoria and Tasmania. This role supports and services all existing wholesale accounts and actively seeks new opportunities ultimately ensuring Elk’s high standards are met, customers are serviced and sales targets are met/exceeded.

Elk is an Australian brand offering original contemporary designed fashion accessories for women and men; featuring jewellery, textiles, leather and apparel, as well as a range of interior pieces. Elk's strong design and commitment to working with small manufacturers whose traditional skills and techniques guarantee authentic, high quality production result in new and exciting ranges each season.

Key responsibilities include but not exclusive to:
Brand representation: for many customers you may be the only or the most regular contact they have with our brand. You must present yourself as a brand ambassador and should maintain a high level of professionalism and appearance ensuring you keep an open, friendly demeanor.
Sales: To take sales orders by servicing wholesale customers throughout your territory. This includes calling them on a regular basis and visiting them in line with an established call schedule, monitoring their sales and actively working with them and Elk Head Office to increase their representation of Elk’s product through marketing and merchandising initiatives. These initiatives will be developed and implemented by management and you will be required to assist in their implementation.
Stockists: To continue to look for new opportunities in areas where improvement is needed, accounts need replacing or there is insufficient representation. You must research and follow up with enquiries in a timely manner. Whilst visiting stockists you may need to offer assistance in ensuring that all Elk products are displayed well to best reflect the brand. You will also be required to deal with any issues that arise with stockists with the support of Head Office.
Pre showings: Prior to the commencement of each season’s sales period you will be required to organise a showing schedule, contact all accounts and book them in for showings. Ensure customers who are unable to attend showings receive new season catalogues, sales information and other necessary communication when required. Ensure their orders are placed and they are serviced to the highest standard.
Product information: You are required to learn everything you need to about all of Elk’s skus. You must learn about materials, manufacturing processes, fits, stock availability and all other relevant details in order to clearly and confidently answer customer enquiries and carry out the sales process.
Communication, administration & reporting: It is imperative you are constantly providing information to Elk’s Head Office with any store changes, product and design feedback etc. You are required to submit a weekly call sheet in preparation for weekly Monday meetings in the Head Office. Prior to visiting each customer you are to familiarise yourself with their buying behaviour through reporting.
Special events and store promotions: you are required to assist with set up, coordination and running of any special events such as pre showings, regional information/training nights, VIP nights or store events.


Essential Skills
• Strong organisational skills with the ability to manage and prioritise own workload
• Ability to take direction, provide support, trouble shoot and assist where instructed
• Demonstrate a high level of attention to detail
• Excellent verbal and written communication skills

 Full Time Online Orders Supervisor 

ROLE DESCRIPTION: (includes but not exclusive to):

Under the direction of the Warehouse Manager, and in conjunction with the online staff undertake the daily completion of orders for Elk’s online store. To ensure the smooth operation of Elk’s online orders by maintaining stock inventory control registers and preparing reports, communicating this to management as well as communication with customers regarding their online orders. Ensuring all orders are processed to the utmost standard and any other information is communicated to relevant departments. In all aspects of the role, this position works to ensure Elk's quality control and delivery standards are met and that customers experience is premium.

This role encompasses customer service, which is something Elk takes great pride in; and this role acts as an ambassador for the brand website, both in the head office and within the community. At Elk, our aim is to make quality fashion, offer impeccable customer service and have a commitment to provide work for others. These are among our core values. You must represent the company with pride and in turn ensure staff working with you and under your direction share our mission.

ONLINE ORDER PROCESSING:
• Oversee the daily operation of all website sales-covering the printing, packing, and dispatching of all online orders
• Supervise the process, fulfilment and dispatch of all sales orders to ensure Elks high standards are achieved
• Supervise online wrapping/packing staff to process daily web sales to high productivity rates
• Ensuring there are sufficient resources to maintain the daily productivity of online sales-this covers consumables such as paper, tissue, ribbon, sticky tape and gift boxes/pouches
• Ensure Elk’s quality standards are met
• Develop and action work flow efficiencies
• Liase with the Stock Coordinator and Online Store Manager to effectively handle over sold items
• Report sales figures on a daily/weekly basis
• Assist the customer service department with answering the phones, responding to emails during peak times or times of leave
• Ensuring all priority orders are processed and dispatched daily
• Ensure orders are dispatched using the most appropriate and timely service available
• Ensure WMS is kept up to date by updating orders, payments and adjusting items when required
• Ensure that any online order/website issues are conveyed to the Online Store Manager
• Alert Warehouse Manager to any staffing concerns/rosters to cover peak periods
• Liase with the Online Store Manager regarding upcoming promotions and key seasonal dates
• When required, work under direction of Warehouse Manager to assist with the picking and packing of wholesale orders

STAFF SUPERVISION:
• Supervise and provide direction to online staff, including on-the-job training and induction
• Communicate all upcoming promotions and special events to online staff
• Managing monthly rosters and timesheets, ensuring there are adequate staff rostered to cover the productivity of online sales
• Ensuring all online staff are trained to the Elk standard, offering product knowledge, gift wrapping and training to all online staff as required
• To undertake and oversee the daily operation of all web sales in conjunction with the junior staff
• Ensure that the every priority order is dispatched from the warehouse daily and that the onlines area is kept re-stocked and clean in preparation for the next day
• Manage the cleanliness and maintenance of the onlines area and general warehouse
• Reporting on staffing costs to the Warehouse Manager

CUSTOMER SERVICE:
• To communicate with the greater Elk team on any product issues or concerns. Convey customer’s feedback to ensure future designs and production procedures can be improved
• To follow up any retail store weekend trading issues promptly at the beginning of each week
• To ensure you remain up to date with current product offerings including product specifications and stock levels
• Providing a high level of customer service and sales advice to all customers either over the phone, in person or email
• Handling all customer enquiries and follow-ups within 24hr timeframe
• To assist customers experiencing difficulty using the website to take orders and process sales over the phone. Each transaction to be handled discreetly and credit card details destroyed at the completion of process

 Full Time Customer Service Consultant

Under the direction of the Online Store Manager take responsibility for the daily operation of Elk’s Customer Service. The Customer Service role is a very important one within the Elk business; as the first point of contact for Elk customers – this role ensures that all customers’ enquiries are handled with the signature Elk high standard of Customer Service.
Elk’s Customer Service is part of our brand identity; nothing is too much trouble for our customers, so it is important to maintain a professional and positive demeanour at all times. Prompt, efficient and consistent responses to all customer service enquiries are part of Elk’s professional culture and reputation.
In this role it is important to understand that you will be one of the Elk ambassadors representing the brand in the head office and within the community.


SUMMARY OF POSITION: (INCLUDES BUT NOT EXCLUSIVE TO)

• Provide a high level of customer service and sales advice to all customers, either over the phone, via email or in person
• Answering all incoming telephone calls in a professional consistent and courteous manner, taking clear and accurate messages, and passing information on to relevant staff members
• To assist customers experiencing difficulty using the website to take orders and process sales over the phone. Each transaction to be handled discreetly and credit card details destroyed at the completion of process
• Handling all customer enquiries and follow-ups within 24hr timeframe
• Ensure all customer repairs are dealt with promptly and checked before being returned to customers
• Managing the phone systems by clearing the voicemail daily, setting holiday messages, adjusting users and turning the phones on and off at night/morning
• Be aware of stock levels and delivery updates in order to provide accurate responses to customer enquiries
• Compile and maintain a customer waiting list for sold out stock to be re-released. Each enquiry to be followed through to final transaction
• To communicate with designers on any product issues or concerns. Convey customer’s feedback to designers to ensure future designs and production procedures can be improved
• To work with Retail and Warehouse Manager’s to ensure all customer enquiries are being consistently handled in the Elk head office and retail stores
• To follow up any retail store weekend trading issues promptly at the beginning of each week

• Offering support to company presentations using Microsoft PowerPoint and other Microsoft applications
• Taking of minutes at staff & customer meetings on request
• As the social committee coordinator you will be responsible for running in-house our charitable initiatives and events for staff
